First-timers have questions
"How does the appointment work?", "How much is it?", "Do you do online?". Without a quick, clear answer, they put it off, and often don't come back.
Ana, Staffra's virtual receptionist, explains how the first appointment works, says whether you see patients online, gives the price and books an open slot. Even when the patient decides to start at 6am.
It's an automatic front desk on WhatsApp that explains how the appointment works, in person or online, gives prices and books the patient into an open slot, even outside working hours. At Staffra, that receptionist is Ana: she works only with what you set up and leaves questions about food to you.
Plenty of people decide to sort out their eating on a Monday morning or a Sunday night. If nobody answers then, the motivation fades.

During an appointment, you can't reply to anyone. By the end of the day the list is long, and some of those patients have given up.
Juggling both kinds of appointment, each with its own length and price, over messages is easy to get wrong.
Someone messages at 6:48am, before the practice opens. Ana explains, answers and books:

Ana works with what you set up: appointment types, prices, hours and instructions. She doesn't create meal plans or answer health questions for you.
Add each kind of appointment with its own length and price. Ana explains the difference and books whichever the patient chooses.
Name, email and phone and, if you want, date of birth and your own questions, like "What's your goal?". Ana asks for all of it in the chat and saves it with the booking.
"Do I need to bring anything?". Ana answers with the instructions you set up, like bringing recent test results.
Ana checks your working hours, days off and existing bookings, including Google Calendar. She never books two patients at the same time.
Patients reschedule or cancel in the chat, within the deadline you set. Once it has passed, Ana won't cancel through the chat.
Every confirmed appointment sends the patient an email, and a reminder arrives beforehand to help prevent no-shows.
Ana only answers from what you've set up. When a patient asks something only the nutritionist can answer, she doesn't improvise: she says she'll get you and, if you allow it, hands over the chat with its full history. The details collected in the chat are only the ones you configure, and Staffra handles them in line with the LGPD, Brazil's data protection law.
